Common questions about calibration records

Which instruments need calibrating?

Anything whose reading you rely on or certify from — gas analysers, multifunction testers, pressure gauges, thermometers used for legionella monitoring, torque wrenches. If a number from it appears on a certificate you issue, it needs to be traceable.

How often should calibration be done?

Usually annually, but it depends on the instrument, the manufacturer's guidance and the scheme you work under — some accreditation bodies specify intervals. Gaffer stores your next-due date rather than assuming one interval for everything.

What happens if an instrument is found out of calibration?

Every reading taken since the last valid calibration is potentially suspect. That is why Gaffer stores the instrument's calibration reference against readings in the water hygiene logs — so the affected records can be identified rather than guessed at.

Does this cover instruments held by individual engineers?

Yes. Records carry an assigned user, so an analyser that lives in one engineer's van is tracked to that person and its expiry reaches them.
